1. Principle

flowgeist uses Artificial Intelligence (AI) responsibly and transparently. This guideline describes how and for what purpose we use AI technologies in our products and internal processes.

2. Areas of AI Use

2.1 Products

Some flowgeist products offer AI-powered features, for example:

• Automated text creation and editing
• Intelligent search and recommendation functions
• Data analysis and pattern recognition

2.2 Internal Processes

AI is also used for internal purposes:

• Email classification and spam detection
• Error analysis and monitoring
• Code assistance in development

3. AI Technology Used

We use exclusively AI services from Mistral AI (Mistral Large, Mistral Small):

Mistral AI is a European AI company based in France. Data processing takes place within the EU. We do not use AI services from providers outside the EU.

4. Principles of AI Use

4.1 Transparency

We label AI-generated content where technically possible and reasonable. Users are informed when they interact with an AI system.

4.2 Data Protection

When using AI systems, personal data is processed in accordance with our privacy policy and the GDPR. AI services only receive the data necessary for the respective function.

4.3 Human Oversight

AI-generated results are reviewed by a natural person for significant decisions. Fully automated decisions with legal or similarly significant effects (Art. 22 GDPR) are not made without express consent.

4.4 Fairness and Non-Discrimination

We ensure that AI systems do not have discriminatory effects. When biases become known, we take countermeasures up to and including disabling affected functions.

4.5 Security

AI systems are secured according to the state of the art. Access is authenticated and authorised. AI-generated outputs are checked for harmful content.

5. User Rights

Users have the following rights in connection with our use of AI:

• Information: You can request information about whether and how AI is used in processing your data (Art. 15 GDPR).
• Objection: You can object to processing by AI systems insofar as it is based on legitimate interests (Art. 21 GDPR).
• Human Review: For significant AI-based decisions, you can request review by a natural person.
• Revocation of Consent: Where AI use is based on your consent, you can revoke it at any time.

6. Exclusion of Liability for AI-Generated Content

AI-generated content does not constitute legal or professional advice. Despite careful review, AI systems may produce incorrect, incomplete, or outdated information. We accept no liability for the accuracy and completeness of AI-generated outputs.

7. EU AI Act

flowgeist aligns its AI use with the requirements of the EU AI Regulation (AI Act). We classify our AI systems according to their risk level and take appropriate measures:

• No high-risk systems: The AI systems we use do not fall into the high-risk category under Annex III of the AI Act.
• Transparency obligations: For AI systems with limited risk (e.g. chatbots), we fulfil the transparency obligations under Art. 50 of the AI Act.
